Role Objective
- Our client is a law firm is seeking a Legal Administrative Assistant to provide efficient administrative and operational support to the legal team. The role will support the preparation and management of legal documents and records, coordination of schedules and client communication, and the effective use of digital and AI-enabled tools to enhance the efficiency and organization of day-to-day legal operations.
Core Duties and Responsibilities
- Provide day-to-day administrative support to advocates and the legal team.
- Draft, format, proofread, scan, and organize legal documents, correspondence, agreements, and reports.
- Maintain accurate, organized, and confidential physical and electronic client files and legal records.
- Coordinate client appointments, meetings, court dates, and internal schedules.
- Handle incoming calls, emails, client inquiries, and routine correspondence professionally and confidentially.
- Utilize AI tools such as ChatGPT, Claude, and Microsoft Copilot to support drafting, proofreading, summarization, research, and administrative workflows, while verifying the accuracy of generated content.
- Use digital document management, scanning, PDF, and document-capture tools to digitize, organize, index, and retrieve legal records efficiently.
- Leverage Microsoft 365, Google Workspace, virtual meeting platforms, and online collaboration tools to support communication and day-to-day office operations.
- Support effective digital communication and administrative workflows, including electronic correspondence, document sharing, and online coordination.
- Maintain well-organized office systems and support the smooth day-to-day operation of the legal practice.
- Follow up on assigned tasks and ensure timely completion.
- Perform other related administrative duties as assigned by the supervisor.
Job Specifications and Qualifications
- Diploma in Law, Business Administration, Communication, or a related discipline.
- Minimum of 3 years’ relevant experience in a legal administrative, law firm, or similar administrative role.
- Proficiency in Microsoft Office applications.
- Familiarity with AI tools and their application in legal or administrative work will be an added advantage.
